Swim meets cannot operate without the active participation of our parent volunteers. Every family is required to fulfill volunteer commitments throughout the season — this is not optional, but a condition of participation for all team members.

Meet Volunteer Requirements

Each family is expected to earn a minimum of 8 Meet Volunteer Points over the course of the season. These points are earned exclusively through direct meet support roles (timing, officiating, chaperones, clerks, etc.) at both home and away meets.

• Each volunteer spot at a meet equals 1 point per role filled. Roles are not weighed differently.
• To function properly, we need at least one member of each family to be present and working a meet role at every meet the swimmer is participating.
• Meet Volunteer Points are tracked separately and can only be earned through designated meet-day roles.

Champs and Olympics Volunteer Requirements:

Olympics, Champs and All-Stars are events held outside of the standard league meet schedule. These events require a significant number of parent volunteers to operate, and swimmer participation is contingent on your family meeting the volunteer requirement.

• Families must be in good standing with their Meet Volunteer Point total before a swimmer will be permitted to participate in Olympics, Champs and All Stars.
• These events require the same hands-on parent support as regular season meets — our team's ability to send swimmers depends on having adequate volunteer coverage.
• Volunteering at championship events does not count toward your overall Meet Volunteer Point total.

Families who have not met the requirement prior to a championship event will be notified in advance and their swimmer's participation will be placed on hold pending resolution.

Additional Volunteer Opportunities

The team also relies on family support for non-meet activities throughout the season, including Pancake Thursdays, food pickup, and event preparation. While these roles are valuable and appreciated, they do not count toward your 8-point Meet Volunteer requirement. Families are encouraged to participate in these opportunities in addition to their meet obligations.

Exception & Appeal Process

We recognize that unexpected circumstances can arise. Families who are unable to meet the volunteer requirement due to extenuating circumstances may submit a written appeal to team leadership for review. Appeals must be submitted no later than 3 days before the event. Leadership will review requests on a case-by-case basis and may offer alternative arrangements where possible. Appeals are not guaranteed, and the team's volunteer coverage needs will remain the primary consideration.

Failure to Meet Volunteer Requirements

Families who do not fulfill their Meet Volunteer Point requirement by the end of the season will be subject to a fee of $30 per point deficit. This fee is not intended as an alternative to volunteering — it is a last resort for families who have not made adequate efforts to meet their obligation.

Families are strongly encouraged to communicate proactively with the Volunteer Coordinator throughout the season if they are experiencing difficulty fulfilling their requirement. There are often flexible options and alternative arrangements available, and the team is committed to working with families to find solutions before fees are assessed.

Fees will not be assessed without prior outreach and a documented opportunity for the family to resolve the deficit. Specifically:

• Families falling behind on volunteer points will be contacted by the Volunteer Coordinator before the end of the season.
• Families will be given a reasonable opportunity to make up the deficit through available volunteer roles.
• Fees will only be assessed if a deficit remains unresolved after this process has taken place.

Repeated or unresolved non-compliance may be subject to additional review by team leadership.
